A team of OIT colleagues has been assembled to help coordinate and support the program, review, and evaluate ideas, and facilitate resources and incentives.

Coordination Team

The current team supporting the Accelerating Innovation program includes:

Activities

We’re seeking to keep the overall program as grass-roots and nimble as possible, but some administrative structures and aspects are needed to sustain effort and make decisions.

  • Program Leadership
  • Communications
  • Support
  • Idea Curation – evaluating ideas as described below
  • Resource and Incentive Recommendations
  • Tracking of ideas that move forward to Concepts/Implementations
  • Periodic review of ideas/concepts to recommend cash award incentives

Evaluations

  • Ideas created but not submitted remain as drafts only accessible by the Idea Creator
    • The Coordination Team and others cannot see them
  • Ideas submitted not yet marked as “Ready for Review”
    • Coordination Team members will watch these “developing” ideas and possibly give feedback to the Idea Creators to encourage and/or guide refinements
  • Ideas marked as “Ready for Review
    • Will be evaluated by Coordination Team members
    • Evaluation records are stored in HypeInnovation
  • Ideas evaluated and recommended for advancement to Proof of Concept or Implementation
    • Requested resources and/or appropriate incentives will be recommended to OIT senior management for review and approval
    • Program Leaders will coordinate with appropriate OIT management to help advance these ideas
    • HypeInnovation may be used to track Concepts that come from approved ideas
  • Ideas evaluated and recommended to be archived
    • Ideas that aren’t strong enough or otherwise don’t meet criteria for advancing will be kept in the HypeInnovation system and marked for Archive
    • Archived ideas can still be viewed and people will be encouraged to strengthen ideas or consider alternatives based on the initial idea
    • Over time it may be useful to revisit archived ideas as technologies, needs, and other conditions may change
  • Ideas evaluated and recommended to be deleted
    • Ideas that don’t meet program guidelines or don’t meet community standards can be permanently deleted from the system
    • Idea creators will likely be notified as an FYI

Concept Tracking

The Coordination Team will keep track of approved ideas that transition into concepts being built.  The person or team working with the concept will let the Coordination Team know when they’ve completed their concept so it can be further reviewed, evaluated, and recommended for potential production-level implementation when appropriate.

Incentive Awards

The Coordination Team will meet annually (possibly in August) to review all completed concepts, evaluate them against the Incentive Award Rubric, and recommend select concepts to receive incentive awards based on the current conditions.
