Subscribing to UCI Exchange Calendars in Apple’s Calendar App

If you want to share your UCI Exchange calendar with someone who is not using Exchange, you can do so in two steps.

  1. Publish a Restricted Exchange Calendar
    You can publish your calendar to the Internet in a restricted manner. Only people you share the link with will be able to see your calendar’s data.
  2. Send the link to people who want to see your calendar. They can subscribe to the Exchange Calendar in Apple’s Calendar app. 
    The people who want to see your calendar can subscribe to the published calendar using the link you created in step 1.  They only need to do this once. Updates to your calendar will be auto-updated in their view.

Publish a Restricted Exchange Calendar

  1. Login to UCI’s Exchange at http://exchange.uci.edu
  2. Go to Calendar (left pane)
  3. From the Share menu, select Publish this Calendar to the Internet

  4. Under Publishing detail, select the level of detail you want to publish:
    1. Availability Only
    2. Limited Details
    3. Full Details
  5. Under Publish my calendar, decide the range of time you want to publish.
  6. Select Restricted under Access level. (This will only allow people you share the link with to see your calendar information.)
  7. Click Start Publishing.
    The links will appear after you publish.

  8. Copy the link under “Link for subscribing to this calendar” and send it to the individual with whom you want to share the calendar.
    They will follow the steps in the “Subscribe to a UCI Restricted Calendar” section below.

Subscribe to a UCI Restricted Calendar

For those who need to view your calendar.

Note: You can read the published calendar based on the level of permission granted, but not write to it. To be able to write to it, you will need an Exchange account on the same server  and have the calendar shared to you directly.

  1. Open Apple’s Calendar App (formerly known as iCal)
  2. From the File menu, select New Calendar Subscription

  3. Paste the link sent to you using the steps above. It will end in ‘calendar.ics’
  4. Click Subscribe
  5. In the Calendar info box, you can select how you want the calendar data displayed.
  6. You can rename the calendar with a better description.
  7. You can select a color for the events
  8. You can store the calendar locally or in iCloud. iCloud allows you to easily share it with your other Apple devices like iPhone, iPad, etc.
  9. You can remove attachments and reminders.
  10. You can select how often the calendar’s data auto-refreshes. This ranges from 5 minutes to every week or none. Use your best judgement based on how often the calendar gets updated. Once an hour is likely adequate.
  11. Click OK

  12. You are now subscribed to the calendar. It will automatically update based on how often you set it to auto-refresh.
